Health & safety
All exhibitors must comply with the Health and Safety at Work Act 1974 and the Health and Safety at Work Regulations 1999 which covers exhibition and conference venues as places of work. As an exhibitor it is essential that you are aware of your obligations under the Acts. As the organiser, ALARM has a duty to ensure that exhibitors and contractors are aware of their responsibilities.These include:
- To ensure, so far as is reasonably practicable, the health, safety and welfare of all employees and any article, plant, substance, or system of work which may be used, are safe and without risk to health.
- To ensure that all employees are provided with information, instruction, training and supervision to ensure their health & safety, and that of others in the vicinity.
- Any accidents must be reported to ALARM and University staff.
Key considerations
- Understand fire and emergency procedures and location of first aid.
- Maintain emergency exits and keep gangways clear at all times.
- Working at height must be done in a safe manner, using suitable equipment in the approved way.
- Ensure staff and contractors wear suitable PPE and that all employees are trained in its use and limitation.
- All powered access equipment operated only by fully trained and certified personnel.
- Only acceptable substances are allowed onsite and are fully compliant the with Control of Substances Hazardous to Health Regulation 2002.
- Portable power equipment is only used for the purpose for which it was designed, with safety guards and devices fitted and used. Power leads must be kept to a minimum and not cross gangways. Power requirements must not overload the systems order.
- All staff are trained to ensure safe working practices including the importance of maintaining good working order in all areas.
- Ensure all contractors are aware of these responsibilities.
Noise level
The use of AV equipment is permitted, but the volume must not cause annoyance. ALARM and the University reserve the right to prohibit the use of any equipment considered a disturbance.
Loose packaging & storage
Loose packaging must be removed from stands once they are assembled. No excess stock, literature or packing cases may be stored on, around or behind stands. Items must be deposited in the designated area.
Emergency & fire evacuation procedures
The Fire Alarm is a two stage alarm.
The first stage is indicated audibly by short electronic sounds and a pre-recorded announcement informing you that there is an emergency but to await further instruction. People do not need to evacuate, but should listen carefully for any change in the signal.
The second stage is a longer, audible electronic alarm and a different pre-recorded announcement informing you that we have an emergency situation and that you MUST evacuate the building immediately and move to the assembly point.
- Assemble on the paved area in front of the Williamson Building
- All exits are clearly marked with the standard green fire exit signs
- Do not use the lift
- Do not stop to gather your belongings
- Follow any instructions given by staff
- Do not re-enter the building until told to do so by the Senior Fire Officer.
Fire Alarm Testing
The fire alarms in the seminar rooms are usually tested on a Friday. There are no other fire alarm drills expected in the week.
First aid
Report to the ALARM registration desk where a member of staff will assist.
