Build up procedures
The following procedures are in place to ensure the health & safety of all exhibitors and visitors during exhibition build up:
- Stands must be completed and in good order no later than 7.30am on Monday 23 June, allowing the Health & Safety Officer to check gangways and exits.
- Exhibitors and staff must adhere to the accepted safety standards.
- Equipment must adhere to the relevant legislation, regulations, British or EEC standards as appropriate.
- No-one under the age of 16-years is permitted in the exhibition hall during build up or breakdown. All activities will be stopped until the hall is clear of minors.
- Vehicles must not be loaded or unloaded until authorised by a member of security.
- When vehicles are loaded or unloaded, they must be moved to the appropriate car park as directed and away from loading bays as soon as possible. If a member of security asks you to move your vehicle, do so immediately.
- Vehicles are not permitted in the exhibition hall at any time, unless authorised by a member of security.
- All roller doors and fire exits will remain closed and must be kept clear at all times. Access to the exhibition hall and workshop rooms is through the main entrance only.
- Large items (pop-up stands and trolleys, for example) are not permitted through the main entrance. Access must be via the loading bay. Vehicle access to the loading bay must be booked by completing the delivery and collection access request form by Friday 23 May.
- Exhibitors are required to provide information on all displays that involve moving equipment and ensure it is not left unattended during opening hours.
- University staff are not permitted to help load and unload items unless prior approval is sought from the University Events Manager.
Height restrictions
Due to the venue's low ceiling and sprinkler system, it is essential that you do not exceed the following height limits:
- Space only - 2.7 metres
- Shell scheme - 2.4 metres.
Stand and name board
Shell scheme stand walls are 2.4 metres high which are Velcro compatible. Exhibitors are not permitted to drill any holes through the panels. Details for your stand name board should be included in the exhibitor contact form.
Electrics
One double socket outlet and two spotlights are included per single stand. To book extras, complete the electrical order form and send to Havills Ltd, the official exhibition contractors, by 9 June.
Furniture
Your shell scheme has carpet as standard but no furniture is included. To book furniture, complete the furniture order form and send to Europa International by 23 May. Late orders will incur a surcharge. Alternatively, you are welcome to provide your own furniture.
Tables throughout the exhibition hall are provided by the University for the sole use of delegate refreshments. Exhibitors are not permitted to remove them for use on stands.
Space only sites & own builds
Ensure you include the details of any stand build contractors in your risk assessment. Contractors must provide visuals including dimensions of space only stands to ALARM.
